Work Order Policy

WORK ORDER ACCEPTANCE POLICY – English – PLEASE COPY AND TRANSLATE TO SPANISH AS NEEDED – MAY BE PROVIDED BELOW.

Purpose of Policy:

This is being provided to answer most all questions our field partners may have during a work order or renovation.  It ELIMINATES any conversations or discussions around responsibility, pay, progress, or creating unnecessary risk for either party.  We must spend our time making progress, and not answering basic business questions so we document them here to give industry acceptable and common sense rules for all involved.  Work progress must keep up with payment processing is one general rule and thank you for your help.

Contractor Conduct, Insurance, and Professional Standards Before Accepting ANY Orders

This policy outlines requirements and procedures for engaging ANY construction contractors. The aim is to minimize risk and ensure communication, safety, compliance, and quality work in a way our homeowners feel is more than appropriate.  Our Contractor Work Order Risk Management Policy includes a section on understanding the policy in English or Spanish and agreement to all terms, as well as a section on PROFESSIONALISM and important payment terms.

Professionalism, Site Cleanliness and Site Access:

We avoid partnering with unstable or risky businesses.  Contractors must provide accurate information during the pre-approval process, or they risk disqualification or termination.

You can only be at a property if you have A VALID WORK ORDER WITH THE DATES ON IT.   Further, DAILY SITE SECURITY AND SAFETY IS YOUR RESPONSIBILITY – lock up as may be required.  No non-working individuals, including family, friends, or minors, are allowed on job sites during bids or workdays. Only authorized personnel involved in the project may be on-site. We have owner occupied properties and security and permitted access is paramount.  Job sites are to be clean and orderly every day during the agreement and work or we charge a fee of $125 per day if we ask to remove and no action is taken.

Contractor Accountability Policy:    We prioritize transparency, accountability, and the highest standards of professionalism in all contractor engagements. To ensure successful outcomes and maintain consistency in our projects, we have established the most basic policies and procedures:

  1. Material Selection and Approval.  All materials proposed for use in any project must be pre-approved by us before procurement. Contractors are required to submit detailed specifications, including brand, type, and quantity of materials, for review and approval. Unauthorized material purchases or substitutions will not be reimbursed and may result in penalties.
  1. Construction Plans and Documentation.  Contractors must provide comprehensive construction plans and detailed documentation outlining the scope of work before project commencement. This includes measurements, diagrams, and any technical drawings necessary for execution. Plans must be submitted to us for review and approval to ensure alignment with project goals.
  1. Schedule and Pricing Acknowledgment.  Prior to the start of any work, contractors must acknowledge in writing their understanding of the project schedule and the pricing outlined in the contract. Any deviations from the agreed schedule or pricing must be communicated immediately and approved in writing. Failure to adhere to the schedule or pricing without prior approval may result in penalties or termination of the contract.
  1. Turnkey Project Delivery.  We require all projects to be delivered in a turnkey manner, meaning all work must be completed to a ready-to-use standard. This includes final inspections, punch list resolutions, and any necessary cleanup. Contractors are responsible for ensuring the project meets this standard before final submission.
  1. Accountability Measures
  • Quality Control: Contractors are responsible for delivering work that meets or exceeds industry standards. Any defects or subpar workmanship identified during or after the project will require immediate rectification at the contractor’s expense.
  • Transparency: Contractors must maintain open and honest communication throughout the project. Misrepresentation of skills, capabilities, or progress will not be tolerated and may lead to contract termination.
  • Documentation and Records: All decisions, approvals, and changes must be documented in writing and stored in the project record. Verbal agreements will not be recognized as binding.

Drug Free, Smoke Free Work Area:

Contractors must have proper, well-maintained tools and equipment for the project before starting work.n  They must bring materials to the jobsite with them.   Our firm is the customer and NOT part of your production team for deliveries or material running.

All tools and equipment should meet industry standards and safety regulations.  We are purchasing “turn key” services where the item can be sold to the end customer at end of your work order duties.  We do not purchase partial or defective work.  Do not remove materials we purchase from our job sites without express permission.

Our group is NOT part of your production team or staff.  Do not rely upon us for onsite supervision, business loans, delivery or errands.  We need TURN KEY providers that understand the finished product.

Quality & Quality Control.  a Punchlist is NORMAL

All maintenance and remodel work should be to proper quality and like and similiar to the neighborhood properties.  If the price for the work order does not match the quality required – PLEASE DO NOT PROCEED.  Do not perform a poor job and then point to budget or quality after.  Please do not proceed, and do not perform low quality services unless you have addressed it, in writing, in advance and have full approval.  Industry standards apply to all trades.

All work is to warranted for labor for a period of 1 year.  If you are repairing something and do not think it will last several years – please stop and consult us with specifics so we can decision as a team.

You, your field managers, and we should inspect work regularly to ensure compliance with ALL specifications and industry standards.  We require contractors to proactively and promptly address any deficiencies or safety issues.  We charge a fee of $75 for failed QC inspections of work so please make sure you have properly checked your work before notifying us to inspect and pay.

Contractors agree here, and must further sign a confidentiality agreement protecting company and client information.

Non-circumvent agreement: Contractors hereby agree not to approach or engage with the homeowner, or company’s clients directly, for the purpose of securing additional work, discussing finances, future contracts or other business, without the company’s express written permission.  All approaches should be reported to the company immediately.  The company can edit the scope with your firm as it deems fit.

Contractors must be proficient in using the company’s technology systems, including any project management software, apps, or online portals required.  If you are not sure how to operate it, you should find an admin person on your team to meet this requirement.

Contractors are required to provide DAILY UPDATES on project progress, including photos and written reports, via the designated technology platforms.  If we have to go obtain our own photos a fee of $65 per visit will be charged to your job value.

Failure to comply with photo, technology and update requirements may result in penalties or termination of the contract.

Language and Agreement:

Contractors must fully understand and agree to this policy in either English or Spanish, depending on their language of choice.  Code of Conduct Policy as well.  Contractors will not accept a work order unless they agree to all terms outlined in this policy.  We expect a high standard of communication to ensure quality and on time delivery.

Payment Terms, Financial Management and W-9:

Payments will be DIRECTLY tied to completion of work or milestones.  We shall withhold final payment (standard retainage) until all work is completed and inspected. (per a scheduled inspection so let us know a day in advance).  Please do not ask us to view work before it is done.  Failed inspections are billed to contactor at the rate of $75 each.  We will monitor contractor invoices for accuracy and adherence to contract terms.

Pay is determined during the bid for scopes, vs. due dates and timing.  A $1000 job that was approved to be done today, IT DOES NOT have the same value if contractor misses due date or stretches the job out for 3 or 4 days.  If contractor changes delivery terms on the company – please expect the pay to be adjusted to accommodate in fairness to all involved.

Final payment will be made only after the work has been inspected and approved for quality.  Payments will be made on banking days and may take 3-5 business days to process.  WE DO NOT PAY INSTANTLY AT COMPLETION – Be Aware.  Our payments are based on our scope of work and at no time will we pay on unsolicited work or unsolicited invoices which may be deemed incorrect or out of scope.

Delays in payment may occur if work does not meet required standards or if there are outstanding issues to be resolved – this includes punch lists, and CLEANING OF JOBSITE BACK TO ORIGINAL CONDITION.

Contractors are responsible for their own taxes and will submit a signed W9 prior to payment for any relationship exceeding the IRS $600 threshold.

Contractors are responsible for paying their own material costs and ensuring materials are of high quality and suitable for the job.

Termination:

We may end a scope of work or contract for non-performance, or unreasonable delay.  The company can terminate without penalty under these specific circumstances.  By following these guidelines, we aim to manage risk effectively and maintain a professional relationship with contractors ensuring professionalism, quality and safety in our properties.

WORK ORDER ACCEPTANCE POLICY

Contractor Conduct, Insurance, and Professional Standards Before Accepting ANY Orders

Professionalism and Site Access:

Drug Free, Smoke Free Work Area:

All Proper Tools & Materials of the Trade (including YOUR Vehicles):

Safety and Compliance:

Confidentiality and Non-Circumvent Are Important:

PHOTOS, VIDEOS AND PROOF OF WORK – REQUIRED:

Contractor Branding and Advertising NOT Permitted:

Daily Job Updates and Technology Requirements:

Language and Agreement:

Payment Terms, Financial Management and W-9:
